Delegates can register for the event on the website https://www.showcase.imrmedia.in. Select an event to register and click on “More Info”.

On the More Info page, full details about the event can be seen. You can also select the type of Delegate Pass required – FREE (for serving officers), STUDENT or DELEGATE Pass.

Serving Officers.

The Free Pass is only for serving officers of the Indian Armed Forces, Paramilitary, DRDO & NIT Faculty

Students Pass

The concessional Student Pass is only for bonafide School and College students.

Paid Delegates

Click on BUY and enter required details. You will be asked to pay through Stripe payment gateway by Credit or Debit Card. Your Email will be your User Name, hence enter email accordingly.

On successful purchase of a Pass you will receive an email confirming your registration. The email will include a password.

On the event day go to the event website https://www.showcase.imrmedia.in. The event will be listed as NOW RUNNING. Click on JOIN.

The login page will open. Enter your user name (email address) and password received by email and enter.

Joining the Webinar

join the Webinar go to WEBINAR. It will open the Schedule page where Sessions are listed. Each Session will have a button to join.

If any Session is yet to start, the button will say “Session is yet to Start”.

 

If the Session has started or 15 mins before the session start time, the button will say “Join the Session”.

If any Session has finished, it will say “The Session is Over”. When the recording of the session is ready, the button will say “Watch Session Recording”.

On clicking JOIN SESSION you will reach this screen (Cisco Webex page).

A Webex window will open where you will be asked to enter your name and email address. Enter your name as you would like others to see it and your email address. Event password will be filled in by default.

 

In the Webex window you may be asked to install a temporary Webex App. Click on the link and a small exe file will be downloaded. Click on the downloaded file and the Webex App will be installed and start running.

 

 

 

Next you will get the following screen.

Attendees can join using a smart phone, ipad, laptop or desktop computer. For the best experience, it is desirable to use a desktop or laptop with audio. Camera is not required by Attendees.

It is preferable to use Chrome browser but Webex will work in Firefox bowser as well.

In case Webex App is installed in the computer or ipad/ phone, the process will be smoother.

Various controls and buttons in the Webex App may appear differently on different devices.

• Internet Explorer: 8 - 10 (32-bit/64-bit), Mozilla Firefox ver 10, Google Chrome 23.

• Mac OS X 10.6 Snow Leopard, 10.7 Lion, 10.8 Mountain Lion

Screen View

While attending the webinar you will see the names of panellists and your own name only as Attendee.

On the screen you have the option to chose between Grid View or Active Speaker View.

To visit the exhibition stands, go to EXHIBITION HALL page where all sponsors and exhibitors stands are seen both as Grid View with thumbnails and also as List View. Select and click on any one stand and it will open in a new tab.

Each exhibition stand has the following features, which you can explore:-

  • Wall Posters. Click to enlarge.
  • Standee/ Pop-up posters. Click to enlarge.
  • Products. Click on any product on the scrolls and view the product image, detailed description, brochure and video.
  • Corporate Video. Click to watch. Ensure you have audio enabled.
  • Video Interaction. Click on the Video Screen and you will join the Exhibitor’s representative on video conferencing through Jitsi App. Ensure you have camera and speaker enabled.
  • Text Chat. Click on the button and you will be taken to the Message Centre to chat by text with the Exhibitor’s representative.
  • Drop Box. Select Drop V. Card and a messaging window will pop-up. Your message will reach the exhibitor.
  • Visit Exhibitor’s Website. Click on their logo.

Each exhibitor's stand has a Jitsi video meeting facility embedded. See the black frame in the picture above circled.  Click on it and the following screen with pop up.

 

Ignore the Chrome suggestion to install an Extension. Enter your name as you would like others to see it and click on "Join Meeting". Unmute the audio and allow camera/video to operate. 

 

On joining the Jitsi video meeting you will see the other party/ exhibitor's representative in the small video frame in the corner and your own image in the centre.

If your camera is off, you will see your name initials as seen below.

In the Networking Centre, all delegates of Sponsors, Exhibitors, Attendees and Speakers are shown with the details that they have completed in their profile.

The data is searchable. You can select the person, view his/her profile and contact details and send an email. If you select to chat by text, his name will appear in the chat window on the Message Centre page.

Each sponsors and exhibitor will be provided with username and password to login to www.showcase.imrmedia.in/user/login.

Representative Tab.

  • Video Rep. Under the second tab “Representative”, enter the name, designation, company, email and Mobile number of the rep who will be logged in for the video interaction with the visitor. Also upload a photo of the rep.

 

 

 

  • ChatRep. Enter the name, designation, company, email and mobile number of the representative who will be logged in for the text chat interaction with the visitor. Also upload a photo of the rep.

 

 

At the bottom of the Representative Tab page is a field for “Video room”. Here enter the name of your video room. It can be a short name of your company, eg, trident. Then use the link https://meet.jit.si/IMR_trident to log in to Jitsi video conference in a new tab on your browser and wait for a visitor to join the rep for a video interaction. More than one visitors or hosts can join from the front end (exhibition stand).

Products Tab.  The third tab is “Products”. Here upload your products. The permitted number of products are:

  • Lead Sponsor                     - 10

  • Economy Exhibitor          - 4

 

The image, product details, brochure and video of each product entered as shown below will automatically be converted into a document as seen above for viewing on the front end by the visitor.

“Save”EACH product after uploading information. The Save button is at the bottom of the page.

Delegates Tab. Here enter the details of each delegate. Each delegate’s particulars will be visible in the Networking Centre for visitors to interact.

The number of delegates permitted are:

  • Economy Exhibitor          - 2

Information required for each Delegates is Name, Company, Designation, Mobile Number, Email, Short Biodata (200 words) and photo (320x320 px).

 

The number of documents permitted to be uploaded to the Resources Centre for downloading by visitors are as follows:

  • Lead Sponsor - 6
  • Sponsor - 6
  • Exhibitor - 4
  • Economy Exhibitor – 4

These documents should be sent to IMR Media to be uploaded. The facility to upload from the Sponsors/ Exhibitors dashboard is not available.

The types of documents permitted are – txt, pdf, doc, docx, jpg, jpeg, png, gif, ppt, pptx, ppsx. The tile of the document and the file name should be mentioned.

The size of any one document should not exceed 2 MB.

In case a thumb image of the document (W170px x H250px) is not provided then the cover of the document will be used as a thumb image.

Each speaker’s information will be uploaded by IMR Media.

The information required in respect of each speaker can be seen below. It includes – Title, Name, Designation, Org/ Company, Mobile No, Email, Short Biodata (200 words) and a [photo (320x320 px).

In addition, speaker’s social media links may also be provided.

The subject of the speakers talk may also be provided along with a 50-word summary by email.

The information will appear in the Schedule and also in the Networking Centre.

To enable video interaction with visitors to their virtual booths, Sponsors and Exhibitors should install the Jitsi Meeting App. It is a free App, downloadable from Apple Store, Google Play Store or F-Droid. It can also be installed as a Chrome Extension.

For laptops and PCs, you may open the App without installing. Go to meet.jit.si  This is the screen you will see. Enter the Room name given to you by IMR Media and start meeting.

Keep camera and mike off (can be unmuted when required). And you are ready to conduct 1-to-1 meetings or 1-to-many meetings with any visitor who may click on the Video Meeting link on your virtual stand at IMR's virtual expo.

It can be monitored every now and then to see if any visitor has come to join the meeting. The only indication will be his image and name on the screen.
